Privacy Policy


Purpose 

This policy aims to help people involved in Marlborough Table Tennis (MTTA) understand how their personal information may be used and stored by MTTA.


Application 

This policy applies to all people providing personal information to MTTA. Personal information means information about a person. Personal information may be collected via any Member Management System (MMS) that MTTA may use for the purposes of managing membership.


Collecting personal information

When you become a member of, or participate in MTTA activities, MTTA will need to collect some personal information from you (or family/whānau of children). It may also collect other information needed to perform its functions, or where required by law.

Personal information means any information about an identifiable individual, and can include contact and identifiable details, demographic data, membership history, payment and account/credit card data, performance results, and health/medical information relevant to table tennis participation, results and images from events, any other information you provide to us in your correspondence with us.

MTTA may collect this information directly from you with your permission, or from any MTTA affiliated organisations.


Using personal information 

MTTA will never sell your personal information.

Employees or volunteer appointed by MTTA may have access to your personal information to do their work. Their access to your personal information is limited to what is necessary for the purposes of their work for MTTA.

Agents and subcontractors of MTTA may have access to personal information needed to do their work on behalf of MTTA but may not use it for any other purposes.

MTTA may be required to share your personal information with the community, regional and/or national and/or international organisations it belongs to, other organisations which are affiliated to it that you belong to or have applied for membership, for example The Sport Integrity Commission NZ, Sport New Zealand, High Performance Sport New Zealand, the NZ Olympic Committee and Paralympics New Zealand, ITTF Oceania Table Tennis and International Table Tennis Federation (ITTF).

Storing and disclosing personal information

MTTA will maintain all reasonable protections against the loss, misuse, or inappropriate disclosure of your personal information, and maintain processes to prevent unauthorised use or access to that information.

MTTA will keep all physical documents secure, both inside and outside its premises.

MTTA will keep electronic personal information secure by making sure its data storage is protected from external sources, maintaining regular back up and applying good security practices.

MTTA may use cloud computing. Where used, MTTA will ensure that cloud computing solutions meet good practice security requirements.


Requests for personal information

You have the right to access and correct your personal information (or your children’s) in accordance with the Privacy Act 2020. If you want to access or correct your personal information (or your child’s), please contact the MTTA Privacy Officer at privacy@mtta.org.nz.

MTTA will not disclose information about children to family/whānau unless there is a clear legal right to access that information.

Any questions about MTTA's compliance with the Privacy Act should be referred to the MTTA Privacy Officer.


Retention

MTTA will keep your personal information only as long as is required for the purposes it was collected for.


Changes to the Policy

MTTA can modify and amend this policy from time to time, and updates will be published on the website.


Marketing and Promotional Materials

You give permission for MTTA to send marketing and promotional materials related to table tennis events, programmes, and opportunities. Please contact the MTTA Privacy Officer on privacy@mtta.org.nz if you would like to opt out of this.


Breach or complaint

Breaches of this policy include breaches of any of the Privacy Principles under the Privacy Act 2020.

You may contact the MTTA Privacy Officer on privacy@mtta.org.nz if you have any questions or complaints about MTTA's collection or use or disclosure of your personal information. MTTA will respond to your query or complaint within a reasonable time period and advise you of next steps in dealing with your complaint. If your complaint is not resolved to your satisfaction, you may file a complaint with the Office of the Privacy Commissioner, which can be done via their website at www.privacy.org.nz, by calling 0800 803 909, or using their online complaint form.
